Subcontracts Secretary [Belgium]


 
Overview / Responsibilities:

Wood has an opportunity for a Subcontracts Secretary role in Antwerp/Belgium at construction site, providing a comprehensive administrative service to the subcontracts team working on a major construction project.

Duration of the contract: 12 months possible further extension.

Responsibilities:

  • Follow up all internal (Wood) and external (Client) approvals for documents produced by subcontracting department.
  • Electronic Archive and filing of all subcontracting documentation;
  • Assistance to the subcontract team for the administration of RWEs (Request of Work Execution), Daily Time sheets, PPCs (Progress Payment Certificates), Contract Revisions.
  • Manage and distribute the in & out correspondence with Contractors regarding subcontracts team.
  • Monitor and register the Daily Presence List of Contractors
  • Administration of the timesheets, overtime approvals of the Subcontracts team
  • Assistance and sourcing of material and services for the job site office (e.g. potable water, toners, papers)
  • Organize meeting rooms for the subcontracting team
  • Prepare reminders for the critical milestones of all contracts administered by the team
Skills / Qualifications:

The ideal candidate shall:

  • Have very good level of written and spoken English, Dutch is a plus.
  • Have good experience in MS Office programs with complex Excel files
  • Have very good communication skills
  • Be used to work in an integrated team on complex projects
  • Be a team player
  • Be eligible to work in Belgium
  • Be available to work at construction site
